How an invoice gets from the job to paid
It all happens in the app, on your phone or at the desk.
Step 1
Create it from the job, the quote or scratch
On a job, Create invoice brings across the customer, the title and any lines from its quote, and the job moves to Invoiced. A sent or accepted quote works the same way, or start a blank invoice for a quick call-out.
Step 2
Check the lines and the GST
Edit up to 50 lines with units, with prices ex or inc GST. Registered for GST, with your ABN or NZ GST number in Settings, it's headed Tax invoice and adds 10% or 15%. Not registered, there's no GST.
Step 3
Set when it's due
Invoices are numbered INV-0001 onwards and due 14 days after issue, unless you change your payment terms in Settings or the due date on the invoice.
Step 4
Email it with your bank details
Send it from the app. Your customer gets your bank details and a private link to a copy they can print or save as a PDF. Once sent, the invoice keeps the details it went out with.
Step 5
Let reminders do the chasing
Switch on invoice reminders in Settings and pick when they go: 3 days before it's due, on the due date, 7 days overdue and 14 days overdue. Each is a short, friendly email with the amount owing, a link and your bank details, and they stop once the invoice is paid, credited or voided.
Step 6
Record the payment
When the money lands, record it as a bank transfer, cash or other. Part payments show as Part paid, and the dashboard shows what you're owed and what's overdue.
The paperwork side, sorted
- Credit notes and adjustment notes
- Credit all of a sent invoice, chosen lines or an amount. Notes are numbered CN-0001 onwards and headed Adjustment note against an Australian tax invoice.
- Payment corrections
- Payment recorded twice, or a transfer bounced? Reverse it with a reason. Nothing is deleted, and each invoice keeps its history.
- Reminders you stay in charge of
- Reminders are off until you switch them on. Preview each email, pause them on one invoice, or switch them off for a customer who's asked you not to send them.
- Job costs onto the invoice
- Push chosen job costs onto a new draft invoice from the job's costing page, with an optional markup.
Good to know
- Online card payments are marked Coming soon. Customers pay by bank transfer or cash, and you record it.
- Xero and MYOB sync is marked Coming soon, so for now add invoices to your accounting software yourself.
- Progress invoices are ordinary invoices, not formal payment claims under security of payment laws.
Trades that invoice in stages, by the hour or on the spot
However your trade gets paid, the invoice starts from work already in the app:
- Builders
- Each stage as its own invoice from the same job: deposit, frame, lock-up.
- Plumbers
- Invoice the call-out before you leave, with labour by the hour.
- Metal fabricators
- The deposit before the steel's ordered, then the balance after install.
- Handymen
- Lots of small jobs, each invoiced with the customer already filled in.
- Air conditioning
- Invoice the install from the accepted quote, then record the transfer.
- Solar installers
- Invoice in stages, and issue a credit note if the price changes after sending.
What it costs
Solo is A$12 (NZ$13) a month ex GST for one person. Crew is A$22 (NZ$24) for up to five. See full pricing.
Questions about invoicing software
Do my invoices include GST?
Only if you're registered. Tick Registered for GST in Settings and invoices add 10% GST in Australia or 15% in New Zealand, headed Tax invoice once your ABN or GST number is in Settings. Not registered, no GST is charged.
Can customers pay an invoice by card?
Not yet. Online card payments are marked Coming soon. Your invoice shows your bank details so customers can pay by transfer, and you record each payment when it lands.
Are overdue reminders sent automatically?
Only if you switch them on. Choose any of 4 reminders, from 3 days before it's due to 14 days overdue, preview each one, and pause them for one invoice or one customer. They stop once the invoice is paid, credited or voided.
How do I fix an invoice I've already sent?
Issue a credit note for all of it, chosen lines or an amount, then create a new invoice if you need one. Sent invoices aren't edited or deleted, so your records stay straight.
Does it sync with Xero or MYOB?
Not yet. Xero and MYOB sync is marked Coming soon on the features page.
