How a job gets into the diary and out the other side
Scheduling is part of the job itself, so there's no second calendar to keep in sync.
Step 1
Book it as you create it, or from the quote
Give a new job a start time and how long it'll take, from 1 hour up to 5 days. Turning an accepted quote into a job takes you straight to that job's schedule.
Step 2
Check the week, or just today
The diary has week and day views with Previous, Today and Next buttons. On a phone the week stacks into a list, and a job that runs over several days shows on each day it covers.
Step 3
Catch the jobs without a time
Under the diary, Not scheduled yet lists every open job that hasn't been booked in, each with a link to schedule it.
Step 4
Reschedule when the weather turns
Open the job, choose a new start or length and press Reschedule. Or clear the time and it goes back on the Not scheduled yet list until you can rebook it.
Step 5
Put the crew on the job
Tick who's working it under Crew on this job. On the Crew plan each person can have their own login, and their My week shows only the work they're on, never prices or invoices.
Step 6
Follow it from booked to invoiced
Move each job through quote, booked, in progress, done and invoiced, and filter the jobs list by status. The dashboard shows today's jobs and the next 7 days as soon as you sign in.
Scheduling tools that work today
- Online booking page
- Switch on a booking page with your services, working hours, gap between jobs and minimum notice. Customers only see times that are free in your diary, and you confirm, move or decline each request, or let them book straight in.
- Bookings from your website
- Add the booking page to your own website with one line of code, or show it on your claimed Tradie Guide listing. Bookings sit in the diary next to your jobs.
- Assign a booking
- Give a booking to someone on your team, and it shows on their week.
- Timesheets against the job
- Clock on and off against a job from the phone, approve each week, and approved hours flow into the job's costing as labour.
- Safety sign-off on site
- Crew read and sign SWMS and pre-start checklists on their phone, and their week shows a banner when a form is waiting for their signature.
Good to know
- Each job has one start and length, so book separate visits as separate jobs.
- There are no automatically repeating jobs yet.
- There's no drag-and-drop or Gantt chart. Change a job's time from its Schedule panel.

Questions about job scheduling software
Can my crew see their own schedule?
Yes, on the Crew plan. Each person gets their own login with My week and My jobs, showing only the jobs and bookings they're on, plus the job notes. They never see prices, quotes, invoices or other customers.
Can customers book a time themselves?
Yes. Switch on your online booking page and customers pick a service and a free time. Times taken by jobs or other bookings are never offered, and you confirm, move or decline each request, or let them book straight in.
Can a job run over several days?
Yes. Choose 1, 2, 3 or 5 days as the length and the job shows on every day it covers in the week and day views.
Does it text customers before I arrive?
Not yet. SMS reminders are marked Coming soon. Customers who book online get an email about their booking, and once it's confirmed the email comes with a calendar file to save.
Does it handle repeating jobs?
Not yet. Book each regular service or maintenance visit as its own job.
How much is the Crew plan?
Crew is A$22 or NZ$24 a month ex GST for up to five people, once paid plans start. Solo is A$12 or NZ$13. During early access you can switch to Crew in Settings at no charge, and every account starts with a 30-day free trial.
